5 Follow-Up Email Templates That Actually Get Responses

Generic follow-ups get ignored. Here are five templates — post-apply, post-interview, ghosted, referral request, and offer negotiation — that hiring managers actually respond to.


Why most follow-ups fail

The most common follow-up email reads: "Hi, just checking in on my application!" This tells the recruiter nothing new and gives them no reason to act. It screams "I have nothing to add."

A strong follow-up does one of three things: adds new information, re-establishes a specific hook, or offers to make the recruiter's life easier.

Template 1: Post-application (Day 5–7)

Subject: Re: [Role] Application — [Your Name]

Hi [Recruiter Name],

I submitted my application for [Role] last [day] and wanted to follow up briefly.

I've been tracking [Company]'s recent work on [specific product/announcement] and it lines up closely with what I built at [Previous Company] — particularly [one-sentence specific thing].

Template 2: Post-first interview thank-you (within 24h)

Template 3: Breaking the ghost (Day 10+ with no response)

I wanted to follow up on [Role] — I know hiring timelines shift, so no pressure on timing.

If the position has been filled or put on hold, I'd appreciate a quick note so I can update my search. Either way, I remain interested in [Company].

Template 4: Referral request

Template 5: Offer negotiation opener
